AI consultancy for small businesses

AI consultancy for small businesses: where it will and will not save you time

Most small businesses do not need an AI strategy. They need someone to look at the week, find the three or four jobs that eat hours for no good reason, and say honestly whether AI, a simple automation or a better checklist is the right fix. That is what I do, then I build the parts worth building.

Who this is for

Owners and managers who suspect they are wasting hours

Owners, operations managers and marketing managers in businesses of roughly 2 to 50 people. You have heard AI can help, you may have tried ChatGPT, and you want a straight answer about where it fits in your business.

  • The same admin, reporting or data entry happens by hand every week.
  • Work stalls when one particular person is off.
  • You have tried AI tools but nothing has stuck in how the team works.
  • You want an outside view before paying for software or a big project.

What I offer

Three ways to work together

Most clients start with the audit. Some already know what they want built. A few want ongoing help as the tools and the team change.

Start here

AI Opportunity Audit

A fixed-scope review of how work moves through the business. I talk to the people doing it, map the repeat tasks, and come back with a ranked list: what AI can take on, what a simple automation would handle better, and what should be left alone. Each item has an estimate of time saved, rough cost and risk.

When the answer is clear

Automation builds

I build the automations and small tools the audit recommends: drafting and summarising with a human check, sorting and routing enquiries, joining up forms, spreadsheets, CRM and email, and internal tools for the jobs your team repeats. Documented so you are not dependent on me.

When it needs to keep moving

Fractional AI and operations support

A few days a month to keep improvements going: training the team, adjusting automations as the business changes, reviewing new tools before you pay for them, and picking off the next item on the list.

Tell me which jobs eat the most time each week. I will tell you whether AI is the right fix.

How the audit runs

Two to three weeks, fixed scope

1

Listen

Short conversations with the people doing the work, not only the person buying the audit.

2

Map

Where time goes each week, which tasks repeat, and which systems the work passes through.

3

Rank

Each opportunity scored on time saved, cost, risk and how much the team will actually use it.

4

Decide

You get the ranked list and a call to agree what to build, what to buy and what to leave.

Why an audit first

Most AI projects fail on adoption, not technology

In twenty years of agency and client delivery, the tools that stuck were the ones built around how people already worked. The ones that failed were bought first and justified later. The audit exists so you spend money on the two or three changes your team will actually use, and skip the rest. Sometimes the honest answer is that a better spreadsheet or a shared checklist beats an AI tool, and I will say so.

Where AI tends to help

Good candidates

  • First drafts of routine emails, quotes, proposals and reports, reviewed by a person.
  • Summarising calls, documents and long email threads.
  • Sorting, tagging and routing enquiries when the rules are clear.
  • Pulling data between systems that do not talk to each other.

Where it usually does not

Leave these alone

  • Final client-facing copy that must sound exactly like you.
  • Decisions that depend on judgement, relationships or context.
  • Tasks a simple checklist, template or rule already handles.
  • Anything where a wrong answer costs more than the time saved.

Questions

Common questions

What is an AI Opportunity Audit?

A fixed-scope review of your business that identifies where AI and automation will save time, where they will not, and what to do first. You get a ranked list with estimated time saved, rough cost and risk for each opportunity, and a call to agree next steps.

How much does AI consultancy cost for a small business?

The AI Opportunity Audit is a fixed price agreed after a short call, based on the size of the team and how many systems are involved. Automation builds are quoted per piece of work once the audit has shown what is worth building. Ongoing support is a few days a month on a retainer.

Do we need to be technical to work with you?

No. I explain things in plain English, build around the tools you already use where possible, and document what I build so the team can run it without me.

Which AI tools do you use?

Whatever fits the job and your budget. That might be ChatGPT, Claude or Copilot for drafting and summarising, automation platforms such as Zapier or Make to connect systems, or a small custom tool when nothing off the shelf fits. I do not resell software.

What about data protection and client confidentiality?

It is part of the audit. I check what data would pass through each tool, whether it is covered by your existing agreements and UK GDPR, and recommend settings or alternatives where it is not. Some tasks stay manual for exactly this reason.

Are you an AI automation agency?

No. I am a single consultant with twenty years of digital delivery behind me. You deal with me from the first call to the handover, and I bring in specialists only when a job genuinely needs them.

Do you work in person?

Yes, when it helps. I am based in Clevedon and work in person across Bristol and North Somerset, and remotely with businesses across the UK.
